Most sales teams use 5% of what Zapier (or Make, or Pipedrive workflows) can do. The reason is usually not capability — it is that nobody has scoped the right automations against the actual sales process. Here are the seven we deploy on almost every engagement.
1. Web-form to CRM, with routing
The hello-world of sales automation, but most teams still get it wrong. Get this right and the rest gets easier:
- Validate the email is real and not a personal address (if you sell B2B)
- Enrich with a firmographic lookup
- Route based on territory, deal size or product
- Assign to the right owner, with an SLA timer
- Notify the rep in Slack, not just email
2. Stalled deal nudge
Anything sitting in a stage longer than the average cycle time triggers a Slack ping to the owner and an entry on the manager's "to review" view. Not a passive Pipedrive "rotting" indicator — an active poke.
3. Won-deal handoff
When a deal moves to Won, fire a structured handoff to onboarding: who, what they bought, who sold it, key promises made, and links to call recordings. This single automation saves more inter-team friction than any other.
4. Lost-deal feedback loop
When a deal moves to Lost, prompt the rep for a structured reason (drop-down, not free text) and surface trends monthly. Without this, "lost to price" stays the default lie.
5. Activity sync
Calls, calendar invites and email replies sync to the right contact and deal automatically. If reps are logging activity manually, they are paying a tax that compounds.
6. Data hygiene patrol
Daily: find contacts missing key fields, deals missing close dates, deals without next-actions. Surface to the owner with a one-click fix link.
7. Reporting feeder
Push CRM events to Sheets or BigQuery on a schedule so reporting tooling is never blocked on the Pipedrive API.
What we usually do not automate
A few things people ask for that we usually push back on:
- Auto-creating tasks for every email reply (creates noise)
- AI-generated follow-up emails sent without human review (brand risk)
- Bulk reassignment scripts run automatically (high blast radius)
